By booking a trip with Brooks Adventures Tours, you agree to the following terms and conditions. Please read them carefully before completing your reservation.

• A deposit is required at the time of booking to secure your spot. Deposit amounts vary by trip and are listed on each booking page. • We accept all major credit and debit cards. Cash App is NOT accepted. • Payment plans are available at the time of booking. You will have the option to split your remaining balance into installments leading up to your departure date. • Full payment must be received by the payment deadline specified at booking. Failure to pay by the deadline may result in cancellation of your reservation without refund.

All monies paid to Brooks Adventures Tours are non-refundable. We strongly encourage all travelers to review this policy carefully before booking. By completing your reservation and submitting payment, you acknowledge and accept that all payments made are final and non-refundable under any circumstances. Brooks Adventures Tours is not responsible for personal emergencies, scheduling conflicts, or any other reason a traveler is unable to attend a trip.

You may transfer your reservation to another eligible traveler, provided the request is made at least 7 days before the trip departure date. Transfer requests must be submitted in writing to [email protected] and include the full name and contact information of the new traveler. Brooks Adventures Tours reserves the right to deny a transfer if the new traveler does not meet any applicable requirements for the trip.

You may book for multiple travelers at the time of reservation. During the booking process, you will have the option to add additional travelers and enter each person's name and contact information. The person completing the booking is responsible for ensuring all travelers in their group are aware of and agree to these Terms and Conditions.

All travelers are expected to conduct themselves in a respectful and responsible manner throughout the duration of the trip. Brooks Adventures Tours reserves the right to remove any traveler from a trip at any time, without refund, if their behavior is deemed disruptive, dangerous, or disrespectful to other travelers, staff, or third parties. Travelers are responsible for complying with all applicable laws and regulations of the destinations visited. Any fines, penalties, or costs resulting from a traveler's failure to comply are the sole responsibility of that traveler.

Brooks Adventures Tours acts as a coordinator and facilitator of group travel experiences. We work with third-party vendors including transportation providers, hotels, cruise lines, and tour operators. Brooks Adventures Tours is not liable for any injury, loss, damage, accident, delay, or irregularity that may occur due to the actions or omissions of these third-party providers. Brooks Adventures Tours is not responsible for losses or expenses resulting from delays, changes in schedules, weather, acts of God, government actions, or other events beyond our control.

Travelers are responsible for ensuring they are in suitable health to participate in their chosen trip. It is your responsibility to consult a physician before traveling, particularly for international destinations. Brooks Adventures Tours strongly recommends that all travelers obtain comprehensive travel insurance, including medical coverage, prior to departure. We are not responsible for any medical expenses incurred during a trip. Travelers with known medical conditions, disabilities, or special needs must notify Brooks Adventures Tours at the time of booking so we can assess whether appropriate accommodations can be made.

Travelers are solely responsible for ensuring they possess all required travel documents, including valid passports, visas, identification, and any health-related documentation required by the destination. For cruises and international travel, a valid U.S. passport is strongly recommended. Brooks Adventures Tours is not responsible for any traveler being denied boarding, entry, or re-entry due to insufficient or invalid documentation.

While travel insurance is not mandatory, Brooks Adventures Tours strongly recommends that all travelers purchase comprehensive travel insurance prior to departure. This should include coverage for trip cancellation, medical emergencies, evacuation, and lost or delayed baggage. Brooks Adventures Tours is not responsible for any losses that could have been covered by travel insurance.

Brooks Adventures Tours collects personal information (such as name, contact details, and payment information) solely for the purpose of processing bookings and communicating with travelers. We do not sell or share your personal information with third parties except as necessary to fulfill your booking (e.g., cruise lines, hotels, transportation providers). By making a booking, you consent to the collection and use of your personal information as described above.

Brooks Adventures Tours may take photographs or videos during trips for use in marketing materials, social media, and promotional content. By participating in a trip, you grant Brooks Adventures Tours a non-exclusive, royalty-free license to use your likeness in such materials. If you do not wish to be photographed or filmed, please notify us in writing prior to the trip departure date.

These Terms and Conditions shall be governed by and construed in accordance with the laws of the Commonwealth of Virginia. Any disputes arising under these terms shall be subject to the exclusive jurisdiction of the courts located in Hampton, Virginia.
